Close AI is the Naarvin product that runs the month-end close. It matches bank lines to your books, reads bills, proposes accruals and prepayment journals, checks recurring entries and keeps every step of the close with an owner and a date. A month is signed off only when every automatic check passes, and journals reach your ERP only after your team approves them.
What does Close AI do?
Close AI does the matching, checking and drafting of a month-end close, and leaves every decision with your team. It works from the books Naarvin reads from each company's own ERP, so the close runs the same way whether a company keeps its books in ERPNext, Odoo, Xero or another system.
| Area | What Close AI does | What a person does |
|---|---|---|
| Bills and receipts | Reads bills from PDFs and photos, then matches each one to an open bill in the ledger or flags it as not yet recorded | Confirms the fields and the match |
| Bank reconciliation | Matches bank lines to the books and flags every difference | Clears the lines that need judgement |
| Accruals | Proposes accruals for regular costs missing this month and for goods received but not yet billed, and reverses last month's | Approves or rejects each proposal |
| Prepayments | Spreads each prepayment over the right months from a register and drafts the monthly journal | Approves the journal |
| Recurring journals | Checks every month that each recurring entry posted, at about its usual amount | Follows up an entry that is missing or changed |
| Close checklist | Keeps every step of the close with an owner, a reviewer and a due date | Prepares and reviews the work |
| Receivables and payables tie-out | Agrees customer and supplier balances to their control accounts in the ledger, account by account | Investigates any difference |
| Suspense clearing | Finds balances left in suspense or clearing accounts and suggests where each belongs | Decides the reclass |
| Sign-off | Blocks sign-off while an automatic check fails, and flags later postings into a closed month | Signs the month off |
Each suggestion shows where it came from. A suspense balance, for example, comes with the accounts that usually settle it in your own history, and an accrual proposal says whether it was found from a regular monthly cost or from a goods receipt that has no bill yet.
How does a month run with Close AI?
The work starts before the month ends and finishes with a sign-off. A typical month looks like this.
- Books and statements come inNaarvin reads each company's books from its ERP on a schedule. Statement files from your banks are uploaded or delivered to a folder. Every sync is recorded, and a sync that would remove too much removes nothing and warns you instead.
- Bills are read and confirmedBills arrive as PDFs or photos. The AI reads the supplier, number, date, amounts and VAT, and Close AI looks for the matching open bill in the ledger. A person confirms the fields and the match.
- Bank lines are matchedThe reconciliation agent matches bank lines to the ledger and flags every difference. Lines that need a decision, such as a receipt with no clear customer, are left for your team.
- The checklist opensThe month opens with your close checklist: each task has an owner, a reviewer and a due date, can wait for the tasks it depends on, and keeps its support files. Naarvin starts you from a standard checklist that you change to your own.
- Proposals are draftedAccruals, last month's reversals and prepayment releases are drafted as journals. Recurring journals are checked, and balances stuck in suspense get a suggested home.
- Balances are tied outCustomer and supplier balances are agreed to their control accounts, and intercompany balances to the other group company's books.
- Journals are approved and sentEach journal goes to the right approver by amount. Approved journals go to your ERP once your admin has switched sending on, as drafts where the ERP allows, or out as an import file.
- The month is signed offWhen every automatic check passes for a company, its month can be signed off. By default one person submits the sign-off and a second person approves it. Postings made into the month afterwards are flagged.
The automatic checks behind the sign-off are worked out from the ledger: each company's trial balance balances in its own currency, the bank is reconciled, receivables and payables agree with their control accounts, every profit and loss account is mapped, exchange rates are complete, no critical anomaly is open, the close tasks are done and intercompany balances agree. Each company is judged on its own, so one company's problem does not hold up another's sign-off. Our month-end close checklist walks through the same steps in general terms.
Who is Close AI for?
Close AI is for the people who own the month end: financial controllers, chief accountants and finance managers, and the accountants who prepare the work. It suits a single company, and it suits a group whose companies run different ERPs in different currencies.
It is most useful where the close is held together by spreadsheets and memory: a checklist kept in a file, reconciliations rebuilt every month, and recurring entries that are only missed when someone happens to notice. Close AI keeps that work in one place, with the evidence next to each step, so a reviewer or an auditor can see what was done and by whom.
What stays with your team?
Every decision that changes your books or commits the company stays with a person. Close AI prepares; your team decides.
- Confirming what the AI read from a bill, and the match to the ledger.
- Choosing between possible matches, and applying money nobody can identify yet.
- Approving every journal. Journals follow your authority matrix by amount, and nobody approves their own request.
- Deciding where a suspense balance belongs.
- Signing the month off, and approving that sign-off when your organization asks for a second person.
Naarvin never moves money, and it never posts to your ERP without an approval. The AI never receives ERP passwords or access tokens, and each organization can switch external AI processing off. Bills are then matched by hand, and every check and proposal still runs from the ledger.
Which systems does Close AI work with?
Close AI works from the books of each company, wherever they are kept. Approved journals can go back to ERPNext, Odoo, Xero, QuickBooks Online, Dynamics 365 Business Central, Zoho Books, Wafeq and Qoyod.
Naarvin also reads Oracle NetSuite, Dynamics 365 Finance, SAP S/4HANA Cloud, SAP Business One, Daftra and Tally; for these, approved journals go out as an import file that a person loads into the ERP. Books from any other system come in through Excel and CSV templates, a read-only database login, a data feed or an SFTP folder. Bank statements are uploaded or delivered to a folder.
How do you start with Close AI?
Our team connects one of your companies, maps its accounts from suggestions a person confirms, and runs the first close side by side with your team. Plans are on request; see pricing or book a demo.
Questions people ask
Does Close AI post journals to our ERP on its own?
No. Every journal is drafted for approval and follows your authority matrix. Sending to the ERP stays off until your admin turns it on, and where the ERP allows, journals arrive as drafts for your team to post.
Can we use our own close checklist?
Yes. Naarvin starts you from a standard month-end checklist, and you change it to match your close. Each task carries an owner, a reviewer and a due date, and you can add a task for one month only.
What happens if someone posts into a month after it is signed off?
At sign-off Naarvin keeps a fingerprint of the month's entries. Any entry later added, changed or removed in the ERP for that month is flagged, so you know the period in your ERP was left open.
Does it work for a group with several ERPs and currencies?
Yes. Each company stays on its own system and in its own currency. The checks run company by company, so one company can be signed off while another is still being fixed, and intercompany balances are agreed with the other side.
What does the AI do, and what is worked out by rules?
The AI reads bills. The matches, checks and proposals are worked out from the ledger by the product's own finance functions. If your organization switches external AI processing off, bills are matched by hand and everything else carries on.
