Qoyod + Naarvin: open invoices and bills, balances each month

How Naarvin connects to Qoyod with an API key: the chart, contacts and open documents it reads, why balances come from a monthly trial balance, and its limits.

In short

Naarvin reads a Qoyod business with its API key: the chart of accounts, customers and vendors, and open invoices, bills, credit and debit notes and unallocated receipts. The connection does not load a general ledger, so the company's balances come from Qoyod's trial-balance export, imported each month and matched to these accounts by code. With write-back switched on, journals approved in Naarvin are posted to Qoyod as journal entries.

What does Naarvin read from Qoyod?

What the Qoyod connection reads
DataWhat Naarvin reads
Chart of accountsEach account with its code, English and Arabic name, and Qoyod's type and group
Customers and vendorsName, organization, e-mail, phone and VAT number
Invoices and billsIssued documents with the amount still due; drafts are left out
Credit and debit notesWith the amount still remaining
ReceiptsMoney received from customers or paid to vendors, less what is allocated to documents, as money on account

Together these give receivables and payables aging, with money on account, for collections and the 13-week cash forecast in Treasury AI.

Why does the Qoyod connection not load the general ledger?

The journal entries Naarvin can read through Qoyod's API are the manual ones, not the entries behind invoices, bills and payments. A profit and loss built from manual entries alone would leave out every sale and purchase, so Naarvin loads no journals from Qoyod and each sync says so.

Instead, export Qoyod's trial balance each month and bring it in with the trial-balance import, part of the Excel and CSV import. It matches the accounts this connection loaded by their code, so the balances land on the right accounts.

How do you connect Qoyod?

  1. Copy the API key in QoyodSettings, General Settings, API key. One key reads one Qoyod business.
  2. Enter the business details in NaarvinThe business name, its currency (for example SAR) and country, since the connection cannot read them from Qoyod, and the API address offered on the form.
  3. Paste the API keyIt is encrypted when saved and never shown again.
  4. Link the business to a company in NaarvinIn the same currency, then set the schedule and confirm the account mapping.
  5. Import the trial balance each monthQoyod's trial-balance export, through the trial-balance import.

What else should you know?

  • Every sync reads the full lists again, on the schedule you set. A document deleted in Qoyod is not marked deleted in Naarvin automatically.
  • Documents are taken in the business currency entered on the connection.
  • A document or receipt that comes without a customer or vendor is left out, and the sync counts it.
  • Naarvin posts approved journals only, as Qoyod journal entries, which Qoyod posts when they are created (there is no draft). It does not create invoices or bills in Qoyod.
  • The connector is built and is checked in a first sync with your own business before you rely on it. Compare the first aging with Qoyod's own reports.

Questions people ask

Can Naarvin report our profit and loss from Qoyod?

Yes, from the monthly trial balance you import, matched to the accounts the connection loaded. The connection itself brings the chart, contacts and open documents, not the ledger.

We run several businesses in Qoyod. How do we connect them?

One API key reads one business, so add a connection for each, each with its own key, currency and country.

Does Naarvin change anything in Qoyod?

Not until write-back is switched on for the connection. Then each journal approved in Naarvin is posted to Qoyod once, as a journal entry; nothing else is written.
