Excel and CSV + Naarvin: import any books, checked first

Bring any company's books into Naarvin with bilingual Excel and CSV templates: every row is checked before anything changes, then committed by a person.

In short

Any company whose system has no connector can still bring its books into Naarvin as Excel or CSV files: a chart of accounts, a trial balance, journals, invoices and bills, payments, customers and vendors, exchange rates and budgets. Every file is checked in full before anything changes, and nothing loads until a person commits it. File imports run with customers today.

What can you import from Excel or CSV?

Each kind has a downloadable template in .xlsx or .csv, with English or Arabic headers. The Excel template has a second sheet that explains every column, and no example figures that could be imported by mistake.

Import templates and what they bring
TemplateWhat it brings
Chart of accountsCodes, names in English and Arabic, type, subtype, parent and whether an account takes entries
Journal entriesLines with date, account, debit, credit, description and reference, plus department, cost centre, project, and who entered and approved them
Customer invoices and vendor billsOpen items with dates, totals and amounts due; credit notes as a document type
Customer and vendor paymentsPayments with what is still on account and the invoice each settles
Customers and vendorsNames in English and Arabic, VAT number, country, contact details and payment terms
Exchange ratesDated rates into your reporting currency
BudgetsAmounts by budget, fiscal year, month and reporting line, optionally by department, cost centre or project

A trial balance and a chart of accounts can also come straight from your own workbook. Naarvin reads the sheet you pick. For a chart of accounts it detects the columns and proposes each account's type for you to review. A trial balance is matched to the company's accounts by code and posted as one balanced journal for its period; importing the same period again replaces it. A month already signed off refuses it until the month is reopened.

What is checked before anything loads?

Uploading a file changes nothing. Naarvin checks every row, every account and company code, that each journal balances, and the currencies, then shows the result. Only then can it be committed, by a person who may commit imports, who can be someone other than the person who uploaded it. Committing the same file twice changes nothing the second time.

Files are up to 25 MB by default; split a larger one by year or by company. A committed file loads through the same path a connector uses, so reports, reconciliations and data quality checks treat imported books exactly like synced ones.

How do companies and currencies work in a file?

One file can hold several companies: each row names its company code. A row may carry its own currency; left empty, it is the company's currency. When a row's currency differs, its exchange rate is required. You can only import into the companies your own access covers.

How do imported accounts reach the reports?

A chart of accounts imported from Excel comes with suggested management P&L lines for its income and expense accounts, the same way a connected system's first sync does. Nothing is confirmed automatically: a person reviews the suggestions and confirms them, and the P&L follows.

Can Excel also show live Naarvin figures?

Yes, in the other direction. The Naarvin add-in for Excel adds two formulas, NAARVIN.VALUE for one figure and NAARVIN.SERIES for one a month, read with an API key that sees only what its role and companies allow. It works the same way as the Google Sheets script.

How do you import your first company?

  1. Download the templatesPick the kinds you need, in Excel or CSV, with English or Arabic headers.
  2. Fill them from your systemExport from your accounting system and paste into the template columns, or import your own trial balance and chart of accounts directly.
  3. Upload and read the checkFix any rows the check reports and upload again. Nothing has changed yet.
  4. Commit, then confirm the mappingsA person who may commit imports loads the file. Then review where each account sits in the management P&L.

Questions people ask

Do we need Arabic headers if our books are in Arabic?

No. Both header languages are accepted, and account names can be filled in both languages in their own columns.

Can files arrive automatically instead of by upload?

Yes. Put the same template files in an [SFTP folder](/integrations/sftp-folder) and Naarvin reads it on a schedule.

What happens if a journal in the file does not balance?

The check reports it before anything is loaded. Fix the file and upload it again.
