Bank statements + Naarvin: MT940, CAMT.053, Excel or PDF

How bank statements reach Naarvin for reconciliation: uploads in MT940, CAMT, CSV, Excel or PDF, or end-of-day files a bank delivers to an SFTP folder.

In short

Naarvin reconciles your bank accounts from the statements your banks provide. A person uploads a statement in MT940, CAMT.053, CSV, Excel or PDF, or, where your installation has it switched on, the bank delivers end-of-day MT940 or CAMT.053 files to an SFTP folder that Naarvin reads every hour. Naarvin only reads statements; it never moves money.

Which statement formats does Naarvin read?

Statement formats and what each brings
FormatWhat Naarvin gets from it
SWIFT MT940, and MT942 for intradayLines plus the account, currency, period and the bank's own opening and closing balances
ISO 20022 CAMT.053, and CAMT.052 or CAMT.054The same, from the XML statement, account report or notifications
CSV or Excel (.xlsx, .xls)Lines read as a table, by the date, amount, debit, credit and balance columns
PDFLines read one at a time: a date, a description and the amounts, with the sign taken from the balance's movement

Prefer the bank's MT940 or CAMT file when you can get it: it carries the account and the bank's balances, so Naarvin can check them, which a spreadsheet or a PDF cannot. A file that holds several accounts comes back as one statement per account, never merged.

How does an upload work?

Upload one statement at a time, up to 8 MB. Naarvin reads it and shows the lines before saving anything, and suggests the ledger bank account whose registered IBAN or number the file names. If the file names a different account from the one you picked, the import stops and asks you to confirm, because a statement loaded against the wrong account hides real differences.

The statement is then reconciled in Close AI: lines are matched to your books, groups such as a batch of payments are matched together, matching rules explain recurring items, and every difference is flagged for a person. A reconciled statement goes to a second person for review, and reopening one needs a reason and a fresh sign-in check, and is refused while the month is signed off. Our bank reconciliation guide walks through the method.

Can banks deliver statements automatically?

Yes, where your bank offers a host-to-host service and your installation has statement folders switched on. The bank writes end-of-day MT940 or CAMT.053 files to an SFTP folder, and Naarvin reads new files every hour, or when someone asks.

  • Each file is read once. Intraday reports (MT942, CAMT.052 and CAMT.054) are recorded and left, because the end-of-day statement for that day follows.
  • Each account in a file goes to the one ledger bank account, in the folder's company and the same currency, whose registered IBAN or number it names. Anything else is not imported, and the reason is kept.
  • The server's host key fingerprint is required and pinned. The password or private key is sealed and never shown again; give Naarvin a user that can only read the folder.
  • A new folder starts paused until someone turns it on, and each read runs with the access of the person who set it up.
  • Naarvin only lists and reads files. It changes nothing on the server.

The host-to-host agreement and any firewall allow-listing are between you and your bank.

How do you set up a statement folder?

  1. Register the bank accountsMake sure each ledger bank account has its IBAN registered, so files can be routed to it.
  2. Agree host-to-host delivery with the bankAsk the bank to write end-of-day MT940 or CAMT.053 files to an SFTP folder, and to allow Naarvin's address through its firewall.
  3. Add the folder in NaarvinOn the bank reconciliation page, enter the server, port, folder, the host key fingerprint and a read-only user. This needs the right to manage connection credentials and reconciliation, and a fresh sign-in check.
  4. Turn it on and check the first filesSwitch the folder on, read its first files on demand, and check that each account landed on the right ledger account.

Questions people ask

Does Naarvin log in to our online banking?

No. It works from statement files: uploaded by a person, or delivered by the bank to a folder.

Can Naarvin pay suppliers through the same connection?

No. Naarvin never moves money. It prepares payment files that a person uploads to the bank.

Should we reconcile a US dollar account in riyals?

No. A statement is reconciled in its own currency, against the ledger amounts in that currency; a statement folder only routes a file to a ledger account in the same currency.
