Naarvin signs in to Odoo with a user's login and API key and reads every company you link: the chart of accounts, posted journal entries, invoices and bills, open payments, partners and analytic accounts. Approved journals can be created back in Odoo's Miscellaneous journal, as drafts or posted, once an admin turns sending on.
What moves between Odoo and Naarvin?
Most of the traffic is reading. Writing happens only for journals your team approved, and only after an admin switches it on.
| Direction | What | Detail |
|---|---|---|
| Read | Companies and chart of accounts | Per company, since one account can be shared across companies |
| Read | Posted journal entries | Every posted journal item, grouped back into its entry, with who created it and when |
| Read | Invoices, bills and credit notes | Posted customer invoices, vendor bills and refunds, what is still due and the day each was settled |
| Read | Payments on account | Payments not yet reconciled with any invoice or bill |
| Read | Partners | Customers and vendors with VAT number, e-mail and phone, plus vendor bank accounts and payment terms |
| Read | Analytic accounts | As projects, departments or cost centres, depending on the analytic plan |
| Read | Currency rates and totals | Odoo's rates, and its own per-account totals for checking the load |
| Sent | Approved journals | Journal entries in the Miscellaneous journal, as drafts or posted |
When Odoo shares one journal item over several analytic accounts, Naarvin splits it into one line per share, so reports by project or cost centre in Reporting AI add up to the ledger exactly.
Which Odoo versions and hosting does it work with?
Odoo 16 and later, Community or Enterprise, on Odoo Online, Odoo.sh or your own server, as long as the address answers over HTTPS from the internet. Older versions that still use the previous account model are refused with a clear message rather than read wrongly.
How do you connect Odoo?
- Pick the Odoo userRead access to Accounting is enough for syncing. If you will send journals back later, the user also needs the right to create journal entries.
- Create an API key for itIn Odoo, open the user, then Preferences, Account Security, New API Key.
- Enter the connection in NaarvinThe Odoo address, the database name (on Odoo Online usually the first part of the address), the user login and the API key. The key is encrypted when saved and never shown again.
- Choose the companiesEach Odoo company links to a company in Naarvin in the same currency, new or existing.
- Set the schedule and confirm the mappingPick how often to sync, then confirm the suggested account mapping. Our team does these steps with you during onboarding.
How does Naarvin keep up with changes in Odoo?
Each sync asks Odoo for entries changed since the last one, judged by the write date of the entry or of any of its items. So an analytic distribution changed on an entry that was already posted is read again. Naarvin always re-reads whole entries, never half of one.
An entry that left the posted state since the last sync, because it was reset to draft or cancelled, is marked deleted in Naarvin. A full sync also stores twelve months of Odoo's own per-account totals, and later syncs refresh the current month and the one before, so the loaded books can be checked against Odoo before anyone reports on them. Syncs run on the schedule you set, from every 15 minutes to once a week, or on demand.
How do approved journals reach Odoo?
Sending is off until an admin turns it on for the connection and chooses drafts or posted entries. Each journal then needs its own approval in Naarvin before it goes.
- It becomes a journal entry in the company's first Miscellaneous journal. Odoo must have one for that company; if it does not, Naarvin says so and sends nothing.
- The entry's reference carries a Naarvin marker. Naarvin looks for it before creating, so a retry never makes a second entry.
- A line with a customer or supplier names that partner. A line with a cost centre gets the analytic account whose reference or name matches it. If none matches, or several do, the journal is refused rather than sent without it.
- Naarvin creates journal entries only. Invoices and bills are not created in Odoo.
While sending is off, an approved journal can be exported as a CSV file for Odoo to import. See how approvals are split between people in our guide to the approval matrix.
What should you check before relying on it?
- The Odoo connector is built and is checked in a first sync with your own company before you rely on it. Compare that first month with Odoo's reports.
- Draft entries and draft invoices are not read until they are posted.
- Each company keeps its own currency in Naarvin. Foreign-currency amounts on journal items are kept beside the company-currency amounts.
- Sending journals is off by default. When you turn it on, try it on a test company first.
Questions people ask
Does connecting Odoo change anything in Odoo?
No. Syncing only reads. Odoo changes only when an admin turns on sending and your team approves a journal, and then only that journal entry is created.
Can one connection read several Odoo companies?
Yes. Every company the Odoo user can see can be linked, each to its own company in Naarvin with its own currency.
Can Naarvin post the journals, or only leave drafts?
Either. The admin who turns sending on chooses whether journals arrive as drafts for your team to post in Odoo, or are posted at once.
How are Odoo analytic accounts used?
They become projects, departments or cost centres in Naarvin, decided by the name of the analytic plan they belong to. Lines shared over several analytic accounts are split by Odoo's own percentages.
