Wafeq + Naarvin: the full ledger and open documents, read only

How Naarvin connects to Wafeq with an API key: the ledger lines, contacts and open documents it reads, how it syncs, how currencies work and its limits.

In short

Naarvin reads a Wafeq organization with an API key: its chart of accounts, every general-ledger line, including those from invoices, bills and payments, its contacts, and its invoices, bills and credit notes with what is still open. Branches, projects and cost centres on lines come through as dimensions. With write-back switched on, journals approved in Naarvin are posted to Wafeq as manual journals.

What does Naarvin read from Wafeq?

  • The organization, with its base currency and country.
  • The chart of accounts.
  • Every general-ledger line, grouped into its journal. That includes the lines Wafeq posts for invoices, bills and payments, not only manual journals, so the profit and loss is complete.
  • Branches, projects and cost centres on those lines, as dimensions for reporting.
  • Contacts, with VAT number, e-mail, phone and country.
  • Invoices, bills and credit notes, with the balance still open, for receivables and payables aging.

How do you connect Wafeq?

  1. Create an API key in WafeqDeveloper, API Keys. One key reads one Wafeq organization.
  2. Paste it into NaarvinNaarvin reads the organization name, base currency and country itself. The key is encrypted when saved and never shown again.
  3. Link the organizationTo a new or existing company in Naarvin in the same base currency.
  4. Set the schedule and confirm the mappingFrom every 15 minutes to once a week, or on demand, then confirm where each account sits in the finance model.

For several Wafeq organizations, add a connection with its own key for each. Our team does these steps with you during onboarding.

How does Naarvin read the Wafeq ledger?

The ledger lines Naarvin reads carry no date of their own, only a date filter. So Naarvin asks for a month first, and reads day by day only the months that have lines. A full sync reads the whole ledger; each later sync re-reads it from the first day of the month before the last sync, so entries removed or back-dated inside that window are caught. Invoices, bills and credit notes are read in full every time.

A line on an account the chart does not list is left out and counted in the sync warnings, so you can see it rather than miss it. Compare the first month with Wafeq's own reports.

How are other currencies handled?

The ledger loads in the organization's base currency, with the transaction-currency amounts kept on foreign-currency lines. A document in another currency keeps its own currency, converted with the exchange rate Wafeq gives on it. Naarvin takes that rate as base-currency units per unit of the document currency, which is worth checking on the first sync. A foreign-currency document without a rate is left out, and the sync says which.

What does the Wafeq connection not do?

  • It does not read payments on account, so unapplied receipts and payments do not show in the aging.
  • It reads debit notes only when Wafeq sends their open balance; otherwise they are left out and counted.
  • It posts approved journals only, as Wafeq manual journals, which Wafeq posts when they are created (there is no draft). It does not create invoices or bills in Wafeq.
  • It is built and is checked in a first sync with your own organization before you rely on it.

Questions people ask

Does Naarvin read invoices and bills as ledger entries too?

Yes. It reads every general-ledger line, including those Wafeq posts for invoices, bills and payments, and separately reads the open documents for the aging.

Can Naarvin split reports by branch or project?

Yes. Branches, projects and cost centres on Wafeq ledger lines come through as dimensions, so reports in [Reporting AI](/platform/reporting-ai) can be split by them.

Does connecting Wafeq change anything there?

Not until write-back is switched on for the connection. Then each journal approved in Naarvin is posted to Wafeq once, as a manual journal; nothing else is written.
