In short

Journals are drafted in Close AI, then Journals, and sent from the ERP postings tab. Each needs an approved "Manual journal posting" request before it reaches your ERP. For ERPNext, Odoo, Xero, QuickBooks, Business Central and Zoho Books it is sent once write-back is switched on for the connection; where the ERP allows, it arrives as a draft for your team to post. For any other ERP you download a journal file, import it, then mark it posted.

Why is sending off at first?

Naarvin only reads your books until you decide otherwise. Sending journals needs two switches: the installation's, which our team turns on with you, and write-back on the connection itself, which an admin with ERP posting rights switches on after a fresh verification. Until then every approved journal can still be exported as a file.

How do you send a journal?

  1. Draft the journalAccruals, depreciation, recurring journals, FX revaluation and other registers propose journals each month. Review and draft them, or draft a manual one. All its accounts must come from the same connection.
  2. Request approvalA drafted journal needs an approved "Manual journal posting" request, routed by amount under your approval limits. Nobody approves their own.
  3. Send or exportWith write-back on, the approved journal is sent to the ERP, as a draft where the ERP allows. Otherwise, export the journal file.
  4. Import the file if neededDownload the journal file and import it into your ERP.
  5. Mark it postedRecord the ERP's reference so the journal shows as posted in Naarvin.

What do the statuses mean?

StatusMeaning
DraftPrepared in Naarvin, waiting for its approved posting request
Queued and postingApproved and on its way to the ERP
ExportedThe journal file was produced, to import into your ERP
PostedIn the ERP, sent directly or marked posted with its reference
FailedThe ERP refused it; the error is shown so it can be fixed
CancelledWithdrawn before it reached the ERP

Can invoices and bills be sent too?

Yes, where the connection allows open documents. An approved invoice or bill is then created in the ERP when sent; otherwise it is exported as a document file, with each line's tax code where one matches.

Questions people ask

Can Naarvin post to our ERP without approval?

No. Every journal needs an approved posting request first, and sending stays off until your admin switches it on.

Will a journal be sent twice if something fails?

No. Each journal carries a marker so a retry finds the one already created instead of making a second.

Our ERP is not on the list. Can we still use this?

Yes. Export the approved journal as a file, import it into your ERP, then mark it posted.
