Go to Data & admin, then Data connections, and choose your system. Sign in to it or enter its address and API key, pick the companies Naarvin may read, set how often to sync, and save. The first full sync starts straight away. Systems without a direct connection can send files instead, through Import from any ERP.
What do you need before you connect?
- Permission to manage data connections in Naarvin. An organization owner or an integration admin has it.
- Two-step verification set up: saving credentials asks you to verify again.
- For ERPNext or Odoo: a user in that system with read access to accounting, and its API key.
- For Xero, QuickBooks Online, Zoho Books or Business Central: a login that can see every company you want to connect. These sign-in connections are switched on for your installation during onboarding.
How do you connect a system?
- Open Data connectionsIn the menu, go to Data & admin, then Data connections, and choose your system.
- Sign in or enter credentialsSign-in systems take you to their own login page. For ERPNext or Odoo, enter the address you open it at and the API key. Naarvin tests the credentials before saving them, encrypted.
- Choose the companiesPick each company Naarvin may read and link it to a new or existing company in Naarvin with the same currency.
- Set the scheduleChoose how often Naarvin syncs automatically, from every few minutes to daily, or manual only. You can sync by hand at any time.
- Save and watch the first syncThe first full sync is queued as soon as you save. Its progress and any warnings appear in the run history.
- Confirm the mappingWhen the accounts arrive, confirm where each belongs. See confirm account mapping.
What if your system is not listed?
Use Data & admin, then Import from any ERP. Any system can send its chart of accounts, trial balance or ledger as files, or be read from a database, a data feed or a folder. See the full list on the integrations page.
How do you pause or remove a connection?
- Switch off syncing: scheduled and manual syncs stop, and the data already imported stays in your reports.
- Disconnect: the stored credentials are removed and the imported data is kept. Enter credentials again to reconnect.
- Delete the data: everything imported through the connection is permanently deleted. This cannot be undone.
- Full re-sync: reads the whole history again. Unchanged records are skipped, so nothing is duplicated.
Questions people ask
Does Naarvin change anything in our ERP?
No. A connection only reads. Journals go back to your ERP only after approval, and only once your admin turns sending on. See [send approved journals to your ERP](/help/send-approved-journals-to-your-erp).
The sync says a company is not visible. What does that mean?
The credentials can no longer see one of the linked companies. Test again with a user that can see every linked company.
Are connectors checked before we rely on them?
Yes. Every connector is checked in a first sync with your own company before you rely on it, and our team does that with you.
