Go to Data & admin, then Import balances. Choose the company and the date the balances are stated at, upload an Excel workbook, pick the sheet, and map the account code and either one balance column or separate debit and credit columns. Review, then commit. Accounts that are not in the company yet can be created from the file.
What do you need?
- An Excel workbook (.xlsx) of up to 8 MB. Several sheets are fine; you choose the one with the balances.
- At least an account code column, and either one balance column or a debit and a credit column. An account name column helps create new accounts.
- Permission to import financials. If you are setting up from Get started, the Excel option there does the same thing.
How do you import it?
- Choose the company and datePick the company and the date the trial balance is stated at, for example the year end.
- Upload and pick the sheetUpload the workbook and choose the sheet that holds the balances.
- Check the columnsNaarvin detects the columns. Map the account code, then either a single balance column, where positive reads as debit and negative as credit, or separate debit and credit columns.
- ReviewSee the accounts found, the ones that are new to the company, and whether the trial balance nets to zero.
- CommitCommit the import. New accounts are created from the file and typed from their code range and name, in Arabic or English.
What if the trial balance does not balance?
The review tells you before you commit. If you go ahead, the difference is posted to an Opening balance equity account so the journal balances, and the amount is shown. It is usually better to fix the file first.
Can you load several periods or companies?
Yes. Load one trial balance at a time, or download the bilingual template and load several periods and companies in one file, checked before anything is written. When you load an earlier period after a later one, each period is posted as the movement between them, so balances are not doubled. An Odoo trial balance report is recognised as it is exported, and its closing balances are used.
Questions people ask
Do we need to map every account before importing?
No. Import first; the mapping of new accounts to Naarvin's finance model is suggested afterwards and confirmed by a person. See [confirm account mapping](/help/confirm-account-mapping).
Can I upload a CSV?
Import balances takes Excel workbooks (.xlsx). Save a CSV as .xlsx first, or use Import from any ERP for other file types.
Will importing again duplicate the balances?
No. Each date is kept as the company's trial balance for that date and its journals are rebuilt, so the periods add up instead of doubling. Imported trial balances are listed per company and can be removed, except in a closed month.
