Daftra + Naarvin: every issued journal, read with an API key

How Naarvin reads a Daftra site with an API key: the chart, journals, clients, suppliers and open invoices it loads, how accounts are typed, and its limits.

In short

Naarvin reads a Daftra site with its API key: the chart of accounts, every issued journal with its lines, manual and automatic alike, clients and suppliers, and open invoices. Daftra gives each account a debit or credit nature but not a type, so Naarvin works the type out from the account's category names, in English or Arabic. The connection only reads.

What does Naarvin read from Daftra?

What the Daftra connection reads
DataWhat Naarvin reads
SiteThe currency and country, read from the site itself
Chart of accountsThe category tree and the posting accounts under it
JournalsEvery issued journal with its lines, including those Daftra makes for invoices, payments and stock; drafts are left out
Clients and suppliersBusiness name, number, e-mail, VAT number and country; their ledger accounts tie journal lines to them
Open invoicesEach invoice with its total and the amount still unpaid, and the due date when Daftra sends one

Lines are in the site's base currency; a foreign-currency journal also keeps its currency amounts. Because the journals include the automatic ones, the monthly close and reports see sales and purchases, not only manual entries.

How does Naarvin type Daftra accounts?

Daftra tells Naarvin whether an account is debit or credit by nature, not whether it is an asset, liability, equity, revenue or expense. So Naarvin reads the names of the categories each account sits in, nearest first, in English or Arabic, and falls back on the first digit of the account code. Client, supplier and treasury accounts are recognised from Daftra's own markers.

An account Naarvin cannot type this way is left out with its journal lines, and the sync counts it. A journal that no longer balances without those lines is skipped whole, never loaded half. Check the account mapping after the first sync.

How do you connect Daftra?

  1. Create an API key in DaftraSettings, API, API Key, for a user who can see the chart of accounts, journals, clients, suppliers and invoices.
  2. Enter the site address and key in NaarvinThe address looks like https://yourcompany.daftra.com. The key is encrypted when saved and never shown again.
  3. Link the site to a company in NaarvinOne Daftra site is one company, in the same currency.
  4. Set the schedule and check the mappingFrom every 15 minutes to once a week, or on demand. Then confirm each account, paying attention to the types.

Naarvin uses the API key and never asks for a Daftra password. If Daftra stops accepting API keys, the connection will need to be set up again.

How often does it sync?

A full sync reads every journal since 2012. Each later sync re-reads from the first day of the month before the last sync, so journals deleted inside that window are marked deleted and back-dated ones are caught.

What does the Daftra connection not do?

  • It reads credit notes, purchase invoices and purchase refunds only when Daftra sends their total and unpaid amount; otherwise they are left out and counted. Payables aging may need a file import until then.
  • It leaves out documents in another currency than the site's, because they come without an exchange rate.
  • It does not write to Daftra. Approved journals are exported as a CSV file to enter in Daftra.
  • It is built and is checked in a first sync with your own site before you rely on it.

Questions people ask

Does Naarvin see sales and purchases, or only manual journals?

Both. It reads every issued journal, including the ones Daftra creates for invoices, payments and stock.

Our chart is in Arabic. Will the accounts be typed correctly?

Naarvin reads category names in English or Arabic, then the account code. Accounts it cannot type are listed in the sync warnings, so check the mapping after the first sync.

Can one connection read several Daftra sites?

No. One site is one company. Add a connection, with its own key, for each site.
