In short

A suspense account is a temporary account for amounts that cannot be posted to their proper account yet, such as a receipt from an unknown payer. Each item should be investigated and moved to the right account quickly, so the suspense balance is close to zero at every period end.

What is a suspense account?

Sometimes money moves before anyone knows what it is for. A customer pays without a reference, a bank charge has no description, or an imported file has a line that matches no account. Rather than guess, the accountant posts the amount to a suspense account and keeps looking.

Clearing accounts are close relatives. Payroll clearing, card settlement and payment gateway accounts are meant to receive and pay out the same amounts, so they should net to zero once each cycle completes. A balance left behind in any of them is unexplained money, and it needs the same treatment.

How do you use and clear a suspense account?

  1. Post with a reason and an ownerEvery item in suspense carries a note of what is known, the date and who is following it up.
  2. Investigate quicklyAsk the bank for the payer’s details, check open invoices of the same amount and look at what usually settles that account.
  3. ReclassifyMove each item to its proper account with a journal that references the suspense entry, approved like any other manual journal.
  4. Review the age every monthList what is still in suspense by age before sign-off. Anything older than a month needs a decision, not another month of waiting.

What does clearing a suspense item look like?

Why do suspense accounts matter for finance teams in the GCC?

Bank transfers without a clear reference, customers paying several invoices at once, and payer names written differently in Arabic and English all make unidentified receipts a routine part of cash application. A large or old suspense balance hides errors, can hide fraud and leaves receivables overstated, so auditors ask about it. Reviewing it is part of any bank reconciliation and any month-end sign-off.

Questions people ask

Should a suspense account appear in the financial statements?

Ideally not. Clear it before the period end. If something cannot be identified in time, classify it as best you can, for example as a payable to an unknown customer, and keep investigating.

Can unidentified receipts be booked as revenue?

No. Money from an unknown payer could be a customer settling an invoice, a deposit, a refund or a payment made in error. Hold it in suspense until you know.

Who should clear suspense items?

Someone who did not post the original entry should review the reclassification, and the approval should be recorded. That keeps the account from becoming a place to hide differences.
